Creating and Cropping Screenshots

Screenshots allow you to quickly capture useful visual information, which can be shared with others in a document, email or online. Always remember: do not capture personal information in a screenshot. Follow the 'cropping an image' steps below to completely delete the unwanted area.

Capture a Screenshot using Microsoft Word

Microsoft Word, PowerPoint, Excel and OneNote include a Screenshot feature, which enables you to insert a screenshot directly into your document.

  1. Open your Word document and click in the document where you want to insert a screenshot.
  2. Navigate to the Insert tab.
  3. Click the Screenshot button and select Screen Clipping.

  1. Your screen will freeze and your cursor will turn into a crosshair. Click and drag over the area of your screen you wish to capture.
  2. The screenshot will appear in your document.

Cropping an Image or Screenshot

Using the crop tool 'hides' part of the image but does not delete it. You can crop an image in Word by clicking on it and choosing the Crop button on the Picture Format tab. Drag the black crop handles to inward then press enter to apply the changes. 

IMPORTANT!

Cropped parts of images are not deleted from a Word document and therefore may be seen by others that have access to the file. To comply with GPDR, please ensure you delete the cropped area before sharing or uploading a file to Canvas.

Delete the cropped area of an image in Word

  1. Click on the image/screenshot in the Word document.
  2. Select the Picture Format tab.
  3. Select Compress Picture.
  4. Ensure Delete cropped areas of pictures is ticked.
    • Untick ‘apply only to this picture’ if you wish to remove the cropped area of multiple pictures in one go.

  1. Click ok.
  2. To confirm the cropped area has been deleted: select the image and choose the Crop tool. This will show if there are any hidden cropped parts of the image.

Take a screenshot without using Microsoft Office

If you prefer to capture your screenshot outside of Microsoft Office, follow the guidance below. 

Using a Windows device: 
  1. Open the Snipping Tool app (or Windows logo key, Shift + S) and select New.
  2. Click and drag over the area of the screen you wish to capture.
  3. Release left click to capture the screenshot.
  4. Select the Copy button or press Ctrl + C.
    • If you wish to keep the screenshot, click the Save button.
  5. Open your Word document and paste in the image.

Using a MacOS device:
  1. Open the Screenshot app (Shift, Command + 4).
  2. Click and drag over the area of the screen you wish to capture. Whilst dragging, hold the spacebar to move the selection.
  3. Release left click to capture the screenshot.
  4. Your screenshot will appear in the bottom corner of the screen, click on it to view it. The screenshot will automatically be saved to your desktop.
  5. Open your Word document and paste in the image.
